GENERAL MEETING
MARCH 4, 2013

Attendance: Sandra Ling, Lydia Lastiwka, Sharmen Chorney, Candice van der Torre, Cindy Koroluk, Donna Melenka, Aline Koroluk, Blaine & Dana Swedgen, Heather Cardinal, Sherri Berezanski, Cara Fedorak and Alicja Gruntowicz, Taneen Rudyk, Vicky Chilibecki, Barb Jardine.

Meeting Called to order by Sandra Ling @7:30 p.m.

Additions to Agenda: New Business #9 Picture Day.

Minutes of January 14, 2013 General Meeting –Cindy Koroluk moved to approve minutes as presented, Heather Cardinal seconded.

Business arising from the minutes:
Vacant Executive Positions: Relay for Life Coordinator position needs to be filled by April or we will not be participating in the team walk. We would still like to participate in the entertainment portion of the event.

Seniors Tour: Sunday, April 7, 2013 date set for tour. Ensemble will attend. There may be three girls missing but Volyn dance can be performed. There are 8 groups at approx 3 minutes each. Buddy system was successful last year, therefore will continue with it again. There are approx 58 dancers. Facilities we will be attending are: St. Michaels, Heritage House, Homestead Lodge and Long Term. Will look into performing at Century Park as well. Cara Fedorak will inform Vegreville School of Ballet when our times are and if they would also like to perform after us.

Storage Space Update: The Centennial Building is still available to look at – private access, alarmed, no rodents or flooding. Lori Evans with the Town of Vegreville has spoken with Sandra about the possibility of us needing space when they build onto Library for Gymnastics storage. Also brought forward that Factory Consignment is looking to rent storage space (owner Bob Ashmead).

New Business:
St. Michael’s Kalyna Competition: Candice van der Torre reported that the festival was a great experience for all that attended. Golds and awards were received by our dancers. Kristine reported that she would like to send all her groups next year, but for sure orange and yellow groups. The competitions ran from 1-4, followed by supper, raffle, etc. Admission was by donation.

Tips & Tricks for Competitions/Performances: Alicjia would like to post to the website tips and tricks for all dancers and parents. These will consist of helpful hints that will help new families especially to prepare for the months ahead. Deadline set for Friday, March 8, 2013 to allow time to set it up on website before Lloydminster Competition. This is also an opportunity for parents to ask questions in case we miss something.

Picture Day: Taneen Rudyk will organize towards the end of April, beginning of May in order to allow time for developing to ensure arrival by Pryvit.

Reports:
President:
Sandra reconfirmed that this year the commitment is not there from some of our parents/dancers. The Executive will discuss and decide on detailed parameters for next year commitment level. It was brought up the stress some of the dancers are feeling since they want to compete but their fellow dancers are not committing.

Taneen Rudyk made a motion that Sopilka will absorb costs of groups registered to participate in Lloydminster Competition that will not be attending, but after the Lloydminster competition if dancers do not have a valid reason for not attending, bond cheques will be cashed. Absences that will be accepted include illness with a doctor’s note, death in family or accident, Dana Swedgen seconded, all in favor, carried.
Treasurer:
See attached report. Bingos are completed. As of February 28, 2013, Sopilka’s bingo license has been cancelled by AGLC. Cindy Koroluk made a motion to accept her report as printed, Sharmen Chorney seconded.

Gaming:
There are 10 workers going to Casino on March 24 & 25, 2013 to Fort McMurray. Everything is in place.

Programming:
Coordinating nightmare with lack of commitment. Vermilion dance competition will be posted to website once available. Pictures and videos are welcome to be posted on website. Please send to Sopilka email. Sopilka will soon have an App available. All families can subscribe to the website and receive notifications when information is updated. Alicjia Gruntowicz moved her report as presented.

Promotions/Publicity:
Candice van der Torre – Kalyna advertisement was submitted today, March 4, 2013 to the Vegreville News Advertiser. Group of the week will follow once some pictures are taken. Promotional items were promised to be available before competitions, but Candice will send out an email to see if there is interest before doing all that work. Ensemble group will be responsible for their own promotional clothing. She has been unsuccessful finding small sizes for the young dancers, but is still looking.

Costuming:
Lydia Lastiwka – Greta is still sewing: Blue and Black. Ukrainian costumes are already a month late. No word received yet.

Zabava:
Aline Koroluk – Reported that Millennia was booked for the next three years (2014-2016). Holy Trinity has not confirmed catering for 2014. ($15195.00 invoice for meal at this year’s Zabava). Changes will be made to menu next year.  Dance first preferred but timelines can be adjusted for next year, i.e.: pig’s arrival. Social Center booked for 2014 for Friday and Saturday and will pay the OT charges. Change rooms worked, therefore no need to book Aquatic Center. Discussion on wristbands – cut off wristband if guests leave social center. We want to eliminate alcohol being consumed outside or snuck into event. Hire security ($22.00/hr) – hire 2 for 9 hours. No bags allowed. Ticket prices need to be re-evaluated. Possibly a kolomyjka for the younger children earlier.

Privit:
Barb Jardine – Grandstand and arena booked. Newsletter will be coming out the end of March or early April.

Ensemble:
No report.
